Stellenbeschreibung:

Leadership and Strategy 

  • Set the TA/Investor Experience strategy and operating model across Luxembourg and Dublin; establish one set of processes, controls, SLAs and service standards across locations
  • Lead, coach and create a high performing team to deliver service excellence consistently from both locations

Investor onboarding & lifecycle

  • Oversee end to end onboarding (KYC/AML coordination, account opening, data capture, standing instructions) and all lifecycle events (subscriptions, transfers, distributions, redemptions, investor communications)
  • Partner closely with the AML/Compliance function to ensure first line execution aligns to second line policy and risk appetite across Luxembourg and Ireland

Service delivery & client experience 

  • Own Transfer Agency service quality to internal stakeholders and investors establish feedback loops and visible service metrics; drive timely processing and communications.
  • Point of escalation for any service issues, resolving and mitigating risk of future occurrence

Control environment & regulatory compliance

  • Maintain a robust control framework covering four eyes checks, payment and bank detail controls, reconciliations, sanctions screening coordination, error/incident management and remediation
  • Ensure alignment to CSSF and CBI expectations for TA/Investor Services; oversee audit readiness (ISAE controls) and timely closure of any findings

Technology, data & change 

  • Own the Transfer Agency technology roadmap and data quality - strengthen integration with fund accounting (e.g., Investran) and related workflow/portal tools; lead migrations and platform improvements with minimal service disruption
  • Collaborate on Transfer Agency/Onboarding tooling and workflow platforms; partner with Platform/IT and vendors to stabilise performance, simplify processes and automate manual steps

People & culture

  • Build capability across both locations; set career paths and training for TA, onboarding and investor communications; uplift management depth and coaching

Stakeholder management & governance

  • Serve as primary TA counterpart to CP; chair/participate in relevant forums; present KPIs, incidents and improvement plans; coordinate with senior management, Capital Partners, Compliance and Platform

Budget & vendor management

  • Responsible for Transfer Agency Budget, workforce planning and vendor SLAs; ensure quality and cost effective service and scalable capacity for fundraising cycles and peak events

Anforderungsprofil:

  • Significant experience in running a Transfer Agency team in an external or internal Fund Administrator ideally within Private Equity environment (10 years plus)
  • Deep knowledge of TA operations (subscriptions, transfers, distributions, investor communications), first line KYC/AML execution and liaison with second line; working familiarity with FATCA/CRS and sanctions processes.
  • Proven ability to manage team managing career paths and ensuring individuals are optimised and developed
  • Ability to understand future clients needs and enthusiasm and ability to enhance service to satisfy these needs
  • Strong control mindset and audit exposure (ISAE/SOC); experienced in error/incident management and remediation
  • Technology savvy, with hands on ownership of TA platforms and integrations to fund accounting (e.g., Investran) and investor/workflow tools (e.g., Deep Pool or equivalent). [ARC Chat | Teams], [Margaret F...t) in chat | Teams]
  • Track record of driving measurable service improvements and change portfolios in a growing platform; vendor and outsourcing oversight experience.
  • Excellent stakeholder skills with senior internal clients (CP) and boards; clear, empathetic communicator; resilient under pressure
  • Languages: fluent English; additional German language advantageous
